Daily Event Options

PROCEDURE 1. The Hotel Operations team comes up with the daily event option they want to have Pre-Arrival, Member Services or Front Desk sell to members, guest of members and/or exchange guests prior to arrival. They discuss and obtain final approval from Hotel Operations. a. Since the option is for a Resort Event, members can purchase “Event Credits” in the amount of $50, $100 or $200 that must be used by the end of their stay towards resort events. No option form will be filled out for Resort Events moving forward. The resort is responsible for creating the event schedule and ensuring this schedule is executed. b. For Event Credits to be able to be purchased during event dates, the Hotel needs to send the event dates, schedule and information to the Member Marketing Manager ( bblanscet@resortcom.com ) so the Club can ensure Event Credits can be purchased during these dates. i. Event Credits will only be able to be purchased during Resort Event Dates. It is the hotel’s responsibility to notify UVCI of Event Dates 120 days prior to the event for the Event Credits to be sold. Failure to do so will mean that the hotel will be unable to sell Event Credits prior to members’ arrival during these date(s) and the resort will forfeit the opportunity tomake any Event Credit sales during the desired dates. ii. One day of Event Credits is valued at $50 USD per person and each daily event option is worth $50 USD per person only. For example, if a member purchases four days of Event Credits for one person it will be $200 USD. For every two people that a member purchases resort credits for, member will receive a 10% discount of this entire Event Credit purchase. iii. If the member does not use these Event Credits during their stay, member can apply them to their room bill or towards any services on property (ex: spa). Event credits expire at the end of member’s stay and cannot be rolled over. iv. Resort Event Credits must be redeemed during the stay purchased for and will expire by the end of member’s stay. They cannot be rolled over or saved for future stays. 2. The Hotel then reviews these daily event options with the Regional Marketing and Sales Director, and once this approval is given it is then sent to Bob Kistner and Michael Buchalter for the final approval. 3. The options request form is then filled out by Hotel Operations with all details of the option, and sent to the UVCI Member Marketing Manager ( bblanscet@resortcom.com ), Marketing Assistant ( sstevens@resortcom.com ) and copy the club’s Member Experience Director and Executive Consultant (cynthial@resortcom.com). 4. The following information needs to be on each daily event option:

a. Effective date of the option b. Expiration date of the option c. Event Dates

d. Event Schedule e. Option price (Daily price is set at $50 per person per day) f. Complete description and specifications of the offer or promotion with any restrictions

6. UVCI Marketing Assistant will review the daily event option info to edit the form for any other changes. 7. Once the options form is verified, it is forwarded to the Member Marketing Manager and the Executive Consultant for final review. 8. The form will be e-mailed to the Member Experience Director for final approval. 9. Upon final approval, the option form is forwarded to LV Inventory with the request to load the approved option into the system. Copy Carolina Padilla and Angie Alvarez. 10.
